We use a service that informs us when any of our managed websites are offline for any reason.

Website Status Monitoring

Although our website hosting service includes email we do not consider it business grade and therefore cannot recommend it for organizations that consider email mission critical

We recommend the use of a dedicated email service such as Microsoft Exchange Online and use Office 365 ourselves. We are very happy to setup and manage this kind of email service but the client is responsible for purchasing and paying for the service for the provider (e.g. Microsoft).

Email

User Management

We strongly recommend that the client purchase domain registrations themselves. We will assist with this process and manage all technical issues.

However, we believe that the domain name is a client asset over which they should have full control.

Some of our competitors use domain ownership as a negotiation tool with their clients during disputes and we believe this is unethical.

DNS Management

Third party software such as operating systems and their components, development platforms such as WordPress (and Themes) as well as databases and ofther software need to be regularly updated to perform optimally and avoid vulnerabilities.

3rd Party Software Maintenance and Update

We will advise on the suitability of different database packages for different problems. Where a third party supplier is recommended (such as Microsoft Azure), the client is responsible for the agreement and any payment.

We will obviously assist in the running of the account and ensure client costs are minimized.

Database hosting, maintenance and management

A content delivery network (cdn) is useful for serving the static components of a website (such as images or style sheets) when high performance is required.

We will advise on the suitability of a cdn. Where a third party supplier is recommended (such as Microsoft Azure), the client is responsible for the agreement and any payment.

We will obviously assist in the running of the account and ensure client costs are minimized.

Where we use these tools to provide deeper insights about the performance of your website, we will use our own accounts and data is supplied to the client at our discretion

We will agree a reporting structure and format with the client at the start of our agreement. Changes to the reporting can be requested at the monthly meeting.

The reports are tailored to the specific goals of the client. We work hard to ensure that what we are reporting can be directly linked to the organization's KPIs

We use a 3 level classification system for defects as follows:

Level 1: - Service Interruption. Areas of the website cannot be accessed or functionality does not work.

Level 2: - Aesthetic. There is an agreed aesthetic issue in some or all browsers.

Level 3: - Opinion. Whether the behaviour is incorrect is a matter of opinion.
